Why Your Videos Don’t Play Properly In Powerpoint (And How To Fix It)
Adding video to your slide deck seems straightforward on the surface, but simple technical oversights can quickly disrupt your presentation. Having run a video production company for over a decade, I’ve seen live video playback issues catch out even the most experienced presenters.
Here are three practical tips to ensure your video plays smoothly at your next event.
1) Save the File Locally
Never stream video over the internet at a venue. Large crowds create Wi-Fi congestion and network slowdowns, leading to buffering, quality drops, or complete playback failures.
To avoid buffering issues, save your video file directly to your computer’s internal storage drive.
Also, avoid playing files from USB sticks, which can be too slow for large files, or network drives (NAS), which can fail during live events. Open the file in Windows Media Player or QuickTime to confirm it works, then embed it into your presentation from there..
2) Check the Venue’s A/V Setup
Think about how your audience will see and hear the content before arriving. Ensure the venue provides an appropriately sized screen or projector.
Then, confirm your laptop has the correct output connection, such as HDMI. And bring your own adapter if your device only has USB-C ports.
Audio is also frequently overlooked. Venues often provide separate systems for microphones and visuals without a link between them. Always connect your laptop to the venue’s PA system if you can, as built-in laptop or TV speakers are rarely loud enough for commercial venues.
3) Test the Entire Video
Always test your full presentation in the room before guests arrive. Load your slide deck and play every video from start to finish. Running a complete test gives you time to fix unexpected glitches or ask an A/V technician for assistance before taking the stage.
